Contracts & subscriptions (maintenance, support, licences)
The Contracts & Subscriptions screen lists your customers’ recurring contracts: maintenance, support and licences. Each contract has an automatic number (CONT-YYYY-NNN), start and end dates, an amount excluding VAT, a frequency and a status. The list is sorted by nearest due date and highlights contracts that are due to expire soon: red for less than 30 days, orange for between 31 and 60 days.
What it is for
A contract represents a recurring commitment with a customer: an annual maintenance contract, a support subscription or a software licence. Unlike a one-off invoice, it has a duration (start date, end date) and is intended to be renewed. The main challenge is to ensure that a renewal deadline is never missed without renewing or renegotiating the contract: this is why the list sorts contracts by the nearest end date and highlights those due to expire soon. For each contract, you record the client, a description, the amount excluding VAT, the billing frequency (from monthly to annual, or one-off), and a reminder period before the due date. The status (draft, active, suspended, terminated, expired) provides an immediate overview of the status of your contract portfolio. The ‘Expiring in 60 days’ filter serves as a list for sales follow-ups: the clients to be contacted as a priority for renewal.
