Frequently Asked Questions
Switching your management tool means entrusting your business to software. Here are the questions business leaders ask before signing up—including those they may hesitate to ask. The answers are factual: if something isn’t available yet, it’s stated clearly.
Trial without commitment
The first concern isn’t the price—it’s the fear of being locked in.
What if ForXell doesn’t suit me after three months?
You can stop at any time. The subscription continues for the duration specified in your order form and only renews if you allow it—there is no mandatory multi-year commitment.
Before leaving, you can export everything: the contract allows you to export your data throughout its term and for thirty days after it ends. In practice, a complete backup of your database and all your documents can be downloaded in one go from Company Settings → Backup.
Is the free trial really card-free?
Yes, entirely. You can create your account and access the full ForXell platform for fourteen days without providing any payment details. At the end of the trial, you choose your plan—or your account is automatically suspended without switching to a paid subscription.
During your trial, you have access to the full product—not a demo. Your real data, your real documents, and your real users are all in place.
Is there a minimum commitment period?
No. The subscription is commitment-free and can be cancelled at any time. French-language support is included.
You simply choose the billing cycle: monthly, quarterly (5% discount), or annual (10% discount). The discount rewards upfront payment and does not lock you in.
This is a key difference from project-based ERP systems, where licence and integration contracts often span thirty-six months.
If I leave, how do I retrieve my data—and in what format?
With a single click, you receive a .tar.gz archive containing two things: a full backup of your PostgreSQL database and all your documents (PDF invoices, attachments, product photos, supplier scans).
The key point is the format: it is a standard PostgreSQL dump, not a proprietary one. Any service provider can read, open, and extract data from it. You do not need our permission or tools to use it.
In addition, you get standardised business exports: FEC for tax authorities, DATEV for German accountants, CSV for all lists, and a public REST API if you prefer programmatic access.
How long do you retain my data after I leave?
For thirty days, during which you can still export your data. After this period, it is deleted, subject to legal retention requirements and normal backup purge cycles.
In other words: we do not indefinitely retain an ex-customer’s data to encourage them to return.
Will the data I enter during the trial be lost when I subscribe?
No. The trial is not a separate sandbox: if you subscribe, you continue with the same dataset, including the customers, products, and documents you have already entered. No setup work is lost.
Who is behind the software
Entrusting your business management to a software provider with forty years of experience is reassuring. Here is how we address this argument—without sidestepping it.
Who publishes ForXell?
Milex SAS, a French company based in Colmar. The publisher develops the software, hosts it, and provides support: there is no intermediary between you and those who write the code.
ForXell is not a laboratory product: Milex uses it daily for its own management—quotes, orders, inventory, accounting, and payroll. Any issue affects us before it affects you.
You are a new publisher. Why should we trust you over an established provider with forty years of experience?
Because a publisher’s longevity does not, in itself, guarantee anything—what truly matters is your ability to leave with your data at any time, and this is assessed on facts, not on a founding date.
What you can verify for yourself: the export format is a standard PostgreSQL dump; the export is triggered by you, with no prior request; the reversibility clause is written into the licence agreement, not just promised verbally.
And what the product has already demonstrated: it supports three countries, three languages, and three accounting frameworks in production, as well as a manufacturing plant with one hundred and fifty employees. Many ‘simple’ management tools fail at the first border.
What longevity genuinely provides—and which we do not yet have—is a portfolio of several thousand references. We do not claim otherwise.
How many businesses use ForXell?
Few, and we prefer to be upfront about it: ForXell is a new product. What we can show is not a number, but what these businesses are running with it.
The software is in production across three countries, with three interface languages and three different accounting frameworks: Milex SAS in France, Milex GmbH in Germany—using the SKR04 accounting framework and DATEV export—and 7X in Bulgaria, with its own social declarations. These are not just options ticked on a brochure: each country has its own accounting standards, reporting obligations, and electronic invoicing format, and all three run on the same product.
Techceramic, a ceramics manufacturer with one hundred and fifty employees, also uses the industrial manufacturing module—bills of materials, production orders, and workshop tracking.
In other words: a select client base, but one that has been tested against the most demanding scenarios—multi-country operations and industrial production. This is precisely where simpler ERP systems reach their limits.
When I have an issue, who responds—and how quickly?
An intelligent support assistant, built into the ERP, available around the clock and in all twenty-seven languages supported by the product. It doesn’t just search a knowledge base—it understands your context, including the modules activated for your company and the screen you’re using when you ask your question.
It handles three types of cases differently. A usage question: it provides an answer, closes the exchange, and sends you a summary. A bug: it creates an anonymised case, checks for duplicates against existing reports, and forwards it to the development team. A missing feature: it first verifies whether it already exists elsewhere in the product, then drafts the specification and tracks demand.
At any time, you can request human assistance—escalation is a button, not a negotiation. French-language documentation and email support are included in all plans, with priority responses by the next business day from the Business plan onwards.
This is the opposite of the indirect model, where your request first goes through an integrator, during office hours, and in a single language.
Can I resell ForXell?
Yes, through the partner programme: a recurring commission of 5% at the Silver tier (from 20 active clients brought in), 10% at Gold (from 50), and 15% at Diamond (from 100). Enrolment is free.
Outages, backups, and business continuity
“What if I can’t issue invoices tomorrow morning?”—the most tangible concern, and the most justified.
Are my data backed up, and how often?
Yes, on two levels. On the hosting side, the database is backed up by the platform. On your side, ForXell includes a backup feature you control: Company Settings → Backup.
There, you can set up automatic daily or weekly backups at your preferred time, in your time zone. Each run saves a full backup of your database to your shared folder, with rotation of the oldest files. The log shows what was done and when.
Can I keep a copy of my data on my own server?
Yes, and this is exactly what automatic backups enable: the file is saved to your company’s shared folder, which you can mount as a network drive on your Mac and Windows workstations. Anything saved to that folder is saved on your own systems.
You can also download the full archive—database plus documents—at any time from the same screen. There’s nothing to stop you copying it to an external drive, a NAS, or a digital Coffre.
If we make a serious mistake, can we undo it?
Yes, by restoring from a backup. The process is deliberately cautious: the backup is never restored ‘over’ your existing folder. It is rebuilt in a new, verified database, then switched over. Your original database remains untouched, allowing you to revert again if needed.
This is a support operation: it is handled by us and cannot be triggered from the interface—specifically to prevent one mistake from causing another.
Can I work without an internet connection?
No for day-to-day data entry: ForXell is an online application and requires a connection. This is the trade-off for a tool that can be accessed from any workstation without local installation or servers.
In practice, an SME’s internet outage also disrupts email, online banking, and telephony: the real issue is your connection’s backup plan (mobile hotspot, secondary line), not the software.
An employee leaves with access credentials, or loses their phone. What should we do?
An administrator can deactivate the account from the ERP, immediately cutting off access—including any open sessions. Each account is tied to an individual: you revoke a person, not a shared password.
Logins can also be secured with fingerprint or facial recognition (passkey). In this case, no reusable password is in circulation, and a lost phone grants no access without the owner’s biometric verification.
Staying compliant
The fear of an audit—tax, URSSAF, or a client demanding an invoice in the correct format.
Am I compliant with the 2026 e-invoicing reform?
Yes. Factur-X in EN 16931 format is native, connection to an accredited Peppol platform is a one-click process, and e-reporting—including Chorus Pro for the public sector—is fully supported. The detailed timeline is explained on the 2026 Reform page.
From 1 September 2026, all businesses must be able to receive electronic invoices; the obligation to issue them follows based on company size. The invoice remains a human-readable PDF, with structured data embedded—no additional module is required to comply.
Is my till system compliant with VAT anti-fraud legislation?
Yes. The till software meets the requirements for immutability, security, retention, and archiving, and Milex provides the publisher’s attestation—the document tax authorities request during an inspection.
One point many publishers overlook: since the 2026 reform, the publisher’s attestation is sufficient (certification by an accredited body is no longer the only option), but it must be accompanied by a director’s declaration. ForXell explicitly requests this and keeps a record—you cannot overlook it by mistake.
What must I provide in the event of a tax audit?
The standardised accounting entries file (FEC), which ForXell exports from your accounts; the publisher’s attestation and your director’s declaration if you use a till; and your supporting documents, stored in the software and exportable.
This is precisely where a single integrated tool proves its value: invoices, entries, and supporting documents all come from the same source, ensuring consistency.
Can I delete an incorrect invoice?
No, and this is intentional: once issued, an invoice is immutable, as required by law. Corrections are made via a credit note, which records the adjustment. The software prevents any other approach—this is a safeguard, not a technical limitation.
As long as a document has not been issued (e.g., a quote or draft invoice), it can be freely modified.
Will my accountant be able to work with it?
Yes, in three ways, depending on the firm’s preference: dedicated access to your file, FEC export for integration into their own system, or DATEV export for firms using this standard.
If your firm prefers to manage the accounts independently, ForXell remains your management tool and provides clean entries; if you handle the accounts yourself, they can review them.
Do you invoice clients abroad? Are local e-invoicing regimes supported?
Eight electronic invoicing regimes in a single solution: France (Factur-X, Chorus Pro, Peppol), Germany (XRechnung, ZUGFeRD), Italy (FatturaPA to the SdI), Spain (Verifactu, SIF chain and AEAT submission), Poland (KSeF 2.0), Hungary (NAV Online Számla), Romania (e-Factura ANAF), plus EU VAT portals (OSS, IOSS, Intrastat).
This is complemented by intra-EU VAT handling, multi-currency invoicing with exchange rate differences, and a 27-language interface—critical when a subsidiary or client enters data directly.
How long are my documents retained?
The Coffre module stores your business documents—articles of association, Kbis, contracts, insurance policies, e-invoices, and tax archives—as well as employee files in a digital vault: document fingerprinting, daily sealed register, qualified timestamping by Certigna (an ANSSI-accredited eIDAS timestamping authority), encryption, legal retention periods for 14 countries, expiry alerts, personal vaults for each employee, and full export at any time. 20 GB included, as a flat fee per company. Coffre Pro adds on-demand qualified timestamping (300 tokens per month), electronic signing of contracts, amendments and final payslips, Digiposte integration, a sealed integrity report, and compliance checklists for employee files by country, with 100 GB included.
You remain in control: you can download all data at any time, and the contract guarantees export for 30 days after termination.
Your data: ownership and location
The question that concerns business leaders most since data sovereignty became a public issue.
Who owns my data?
You do. The licence agreement states this clearly in Article 8: the client retains ownership of their data. Milex acts solely as a processor under Article 28 of the GDPR, following your instructions.
We only use aggregated, anonymised statistics—usage volumes that do not allow identification of you, your employees, or your clients.
Where exactly is my data hosted?
On Microsoft Azure, in the France Central (Paris) region, with a dedicated PostgreSQL database per company. The public website is hosted on Fly.io in the Paris region.
This applies to all three locations where your data resides: your company’s database, your documents (invoices, attachments, images), and the application servers. None are replicated outside France.
The database is automatically backed up by the platform with a 35-day retention period, in addition to the backup you manage yourself. All access is exclusively via HTTPS, with TLS 1.2 or higher.
Are my data mixed with those of other businesses?
No. Each company has its own separate database. This is not a 'company' column in a shared table: the databases are distinct, and the software will refuse to serve any data unless it can be certain which company it belongs to.
Practical consequence: your backup contains only your data, and an error in another client’s file cannot affect yours.
Who within your organisation can see my data?
Technical access is restricted to operations and support activities, and any intervention on a client file is logged. No one at the publisher accesses a file for commercial analysis.
On your side, you control who sees what: permissions are managed per user and per module, with read or write access. A salesperson cannot view salaries; an accountant cannot modify pricing.
Can a foreign authority access my data?
The publisher, Milex SAS, is a French company: the US Cloud Act does not apply. Your data is stored and processed in France.
If your sovereignty requirements are absolute, the key question to ask any publisher—including us—is about their hosting provider: we use Microsoft Azure in its French data centres. You can hold a full copy of your data outside our infrastructure at any time, which remains the most concrete protection.
Which AI is used, and are my data used for training?
You can choose the AI: Claude (United States) or Mistral (European Union). If sovereignty is a priority, you can stay within Europe.
Your data is not used to train any model. AI functions process your documents to generate suggestions, which always require human validation before any accounting entry is recorded.
Are you ISO 27001 certified?
None to date. Our established competitors display ISO 9001 and ISO 27001 certifications; we prefer to state this clearly rather than leave any ambiguity.
What is certified is the infrastructure: the French data centres hosting ForXell are covered by the host’s certifications (ISO 27001, ISO 27018 for personal data protection, SOC 2, and HDS for health data).
What we provide as the publisher: strict separation of databases by company, named and logged access, backups that you control and can take with you, and built-in GDPR tools.
How do I respond to an employee or customer exercising their GDPR rights?
Directly from the ERP. ForXell includes the necessary tools: tracking of received requests, data export for an individual to fulfil the right of access, anonymisation for the right to erasure—with a preview before action—along with a processing register, retention policy, and anonymisation log.
These tools are activated on a per-company basis: they do not clutter the system for those who do not need them.
Getting started without disrupting operations
A failed ERP project is a story of a business grinding to a halt, not just poor software.
How long until we are operational?
Less than fifteen minutes in typical cases, thanks to the migration assistant and universal FEC import. Customer, product, and item data can be imported via CSV. For more complex setups, support is available.
This does not mean all your configuration will be complete on day one: an SME naturally spends a few weeks on accounting and payroll. However, day-to-day operations never stop during this time.
Why is ForXell simpler than a traditional ERP?
Do I need to pay for a consultant or integrator?
No. The fourteen-day free trial requires no credit card, and customer, product, and item data can be imported via CSV. A migration assistant reads a universal FEC file. Support is available for migrations from Sage, EBP, Cegid, or Excel, but it remains optional.
This is the key difference from a traditional ERP, where the licence is only part of the bill: a project typically includes consultancy days charged at between £900 and £1,200.
ForXell is designed to be configured by the business owner or their management assistant. Support is available if you need it—but as an option, not a requirement.
Who will migrate my data from my old software—and what if it’s disorganised?
Data is imported from your exported files (Excel, CSV) or from an export generated by your previous software. The system automatically recognises the content and maps it to the correct fields, without requiring you to define the structure.
Disorganised data becomes apparent during import—not six months later. Issues like duplicates, missing pricing, or customers without VAT numbers can be addressed immediately. There’s no obligation to migrate everything: many businesses transfer only customers, products, and open transactions, leaving historical data in the old system.
Can I run the old and new systems in parallel?
Yes, and this is often the best approach. You can switch invoicing at a clean cut-off date—such as the start of a month or financial year—while keeping the old system available for reference.
There’s no need to migrate all modules at once. Many businesses start with quotes and invoices, then add inventory, followed by accounting.
What if my team refuses to switch tools?
This is the real risk in any project—far more than technical challenges. Two factors help: the seamless flow between documents (a quote becomes an order, then a delivery note, then an invoice, with no rekeying) and the fact that the interface is available in each user’s language, which is particularly valuable for international teams.
In addition, built-in support is provided: every screen includes a help button explaining its specific functions, along with a learning centre featuring short, focused lessons.
I don’t have an IT team in my business. Is that an issue?
No. There’s no need to install servers, manage databases, schedule backups on your premises, or apply updates: all of this is handled by the publisher.
Your responsibilities are limited to three things: creating user accounts, assigning permissions, and ensuring a reliable internet connection.
What training is provided?
Contextual help in every screen, a comprehensive help centre covering all features, and short subtitled video tutorials. All available in the language of the interface, not just French.
Guided training is available if you prefer, though it is not required to get started.
The real cost
The concern is not the advertised price—it is the hidden extras once you are up and running.
How much does ForXell cost?
Four plans, per user per month, excluding VAT: Solo at £29 (for sole traders, single user), Essential at £55 (from 2 users), Business at £99 (from 3 users, our most popular plan) and Enterprise at £149 (from 5 users). A 10% discount is applied for quarterly payments and 20% for annual payments on the Essential, Business and Enterprise plans; the Solo plan remains at £29 regardless of payment frequency. Full details are available on the Pricing page.
Is the core functionality limited in the entry-level plans?
No: CRM, inventory, customer service, point of sale, analytics, hosting in France, GDPR compliance and Factur-X EN 16931 are included in all plans. Higher-tier plans add advanced customer service with SLAs, e-commerce, automated reminders, multi-warehouse support and wholesaler integrations (Business), followed by full REST API access, multi-company management, advanced roles, SSO, audit trail and Peppol BIS 3.0 (Enterprise).
Is the advertised price the final price?
Yes for the core features: the per-user, per-month rate covers all basic functions—CRM, quotes and invoices, inventory, customer service, point of sale and analytics. None of these features are restricted in the entry-level plans.
Industry-specific modules are available à la carte at publicly listed prices on the Pricing page: accounting, payroll, project management, e-commerce, banking and more. You activate them when needed and deactivate them when no longer required.
What you will not find with us: setup fees, mandatory integration days or initial training packages.
Are updates chargeable?
No. Updates and fixes are made available to all clients in the same way, with no need to repurchase a version or fund a migration tier.
This is a common concern with on-premise ERP systems, where upgrading to a major version is typically charged.
Can you increase prices overnight?
Pricing and revision terms are set out in the order form. An annual subscription protects you from any price changes during its term.
Ultimately, the real protection isn’t a promise—it’s the ability to leave with your data if the pricing no longer suits you.
What happens if I hire staff or reduce my workforce?
You adjust the number of user licences. Each plan has a minimum number of users—one for Solo, two for Essentiel, three for Business, and five for Enterprise—beyond which you can scale up or down based on your actual headcount.
A seasonal worker employed for three months won’t cost you twelve months’ worth of licensing.
What does it cost to leave?
Nothing. Exporting your data is a built-in feature of the software, not a paid service: there are no charges, no processing delays, and no negotiations involved.
This is intentional: a provider that charges for data export is protecting itself from a product customers want to leave.
If I pay late, will you cut off access?
Not immediately. The contract allows for suspension only after a formal notice has gone unanswered for fifteen days. An isolated late payment won’t halt your billing overnight.
Does it truly support my business needs?
The concern about tools that look polished but fall short when it comes to real business needs.
What exactly is ForXell?
ForXell is a cloud-based ERP—a business management software—developed by Milex SAS, a French publisher based in Colmar. It covers the entire SME management cycle, from sales prospecting to year-end accounting, all within a single application, with data hosted in France.
How many functions does ForXell cover?
Over 150 functions across twelve areas: sales and CRM, purchasing and IT reselling, inventory and logistics, accounting and finance, e-invoicing in eight countries, banking and financial AI, payroll and HR, construction and project management, e-commerce and customer portal, marketing and loyalty, Microsoft 365 and platform integration, and core migration tools. All are live and fully operational—not just a roadmap.
Full details are available on the Features page.
Is this a true ERP, or just a dressed-up invoicing tool?
A true ERP, as it maintains double-entry accounting: general ledger, trial balance, journals, automatic reconciliation, bank matching, VAT including on receipts, year-end closing, cost accounting, and FEC export.
Over 150 functions are live across a dozen areas: sales and CRM, purchasing, inventory and logistics, accounting and finance, payroll, production, project management, POS, e-commerce, and analytics. These are not roadmap intentions—they are already in production.
What if I need a critical function that’s missing?
Raise it during your trial, not after. Your request won’t get lost in an inbox: our support assistant first checks if the function already exists elsewhere in the product, then drafts the specification and tracks how many clients have requested it.
We develop the product in-house, and updates benefit all clients without requiring a new version purchase. Frequent requests stand a good chance of being implemented.
If the missing function is core to your business and not on our roadmap, it’s better to know within fourteen days than after migration. We’d rather tell you upfront.
My business is niche. Is ForXell suitable?
Certain industries have dedicated modules: construction and worksites (work progress reports, progress billing, on-site data entry), hospitality, IT resale with wholesaler catalogue integration, manufacturing and workshops, fashion, and project-based management.
For all others, the core system covers the full commercial and accounting cycle, with multi-axis analytics to track performance based on your own business segments.
Can I connect it to my other tools?
Yes: a public REST API and webhooks for your custom developments, bank connectivity for reconciliation, Microsoft 365 email and calendar integration, IT wholesaler catalogues, shipping carriers, and e-commerce platforms.
The API is fully documented and accessible without prior commercial negotiation.
Will it scale as my business grows?
The software supports multi-company, multi-warehouse, multi-currency, and granular user roles. Higher-tier plans add single sign-on and a full audit log, which enterprise groups require.
If your transaction volumes increase significantly, a dedicated database instance is available as an option. You won’t need to switch providers as you grow.
I have multiple companies. Do I need multiple subscriptions?
Multi-company support is included in the core system, with higher-tier plans expanding the number of entities managed. Each company maintains its own database and accounting while being managed from a single account.
Does ForXell cover full accounting, or just invoicing?
Full double-entry accounting is supported: general ledger, trial balance, journals, bulk automatic reconciliation, bank reconciliation, VAT — including on receipts —, multi-axis analytical accounting, cut-off (prepaid expenses, deferred income, provisions), locked monthly closings, interim management balances, multi-company consolidation, PCG to SKR04 mapping, tamper-proofing and tax archives, FEC export for the DGFiP, and DATEV export for Germany.
Is payroll included?
Payroll is an optional add-on (£49 per company per month, excluding VAT): from gross to net payslips, monthly DSN in NEODeS format, leave synchronised with Outlook, and expense reports. The HR/SIRH module (£79 per month, excluding VAT) adds employee records, absence and sick leave management, time tracking and clocking, onboarding, HR documents, annual reviews, objectives, and recruitment.
Is ForXell suitable for a construction business?
Yes. The Projects module covers project and job tracking, work progress reports, milestone billing with retention adjustments, allocation of hours and expenses to projects, mobile site data entry, and a client project portal.
What about an IT reseller?
The IT Distribution pack includes EDI integration with Ingram Micro, ALSO, HP and TD SYNNEX, real-time distributor pricing and stock levels, vendor quotes (OPG), AI-powered wholesale price analysis, drop-shipping, and automated price list imports via FTP, SFTP or API.
Is there an API?
Yes: a public REST API with webhooks, an app marketplace, and a partner programme. SAML/OIDC SSO and SCIM provisioning are also available.
Does it really work outside France?
Yes, and this is proven in production, not just claimed: the software is used in France, Germany and Bulgaria, with each country’s interface language, chart of accounts and regulatory reporting requirements fully supported.
In practice, this means a German company can maintain its accounts in SKR04 and export to DATEV for its accountant, while a French company generates its FEC and Factur-X invoices—all on the same product and codebase.
If you have an overseas subsidiary, this is the key point to verify with any vendor: many handle multi-currency, but few support multiple accounting frameworks.
Day-to-day use
The practical questions that determine real-world adoption.
Which devices does it work on, and do I need to install anything?
On any computer with a browser—Mac, Windows or Linux—with no installation required. Companion apps for iPhone, iPad and Mac are also available, all syncing the same account and data in real time.
No on-site server is required.
What about my sales representatives and field technicians?
They work from their phones: accessing customer and stock information, creating quotes, scanning barcodes and QR codes, logging time on site, and using the customer portal.
Calls can be initiated directly from the customer record, and the call history is automatically logged, eliminating the need for written visit reports at the end of the day—or ever.
In how many languages is ForXell available?
Twenty-seven: French, German, English, Bulgarian, Chinese, Croatian, Danish, Spanish, Estonian, Finnish, Greek, Hungarian, Italian, Japanese, Latvian, Lithuanian, Dutch, Norwegian, Polish, Portuguese, Romanian, Russian, Slovak, Slovenian, Swedish, Czech, and Turkish.
The translation covers the interface, generated PDF documents, and, optionally, product catalogue descriptions. Each user selects their preferred language, so two colleagues can work in different languages on the same project.
What if I have an issue on a Saturday or at 10 p.m.?
You can raise your question in the ERP, and the support assistant will respond, regardless of the time or your language. For usage-related queries—and this is the most common scenario on a Saturday—the answer is immediate.
If it’s a bug, your report won’t wait until Monday: the case is created and escalated immediately, with all relevant technical details already gathered.
And in any case, your backup remains accessible: you retain access to your data even if the software is unavailable.
Will updates disrupt my work?
Updates are deployed automatically, with no action required on your part and no version to install. Scheduled maintenance is announced in advance; unplanned interventions are reserved for security incidents only.
You never have to choose between 'staying on the old, working version' and 'migrating': everyone is always on the same version.
What support is included?
Online documentation and email support in French are included with all plans. Priority support with a next-business-day response is included from the Business plan onwards, and dedicated phone support with a 99.9% SLA is available with the Enterprise plan. AI-powered support at three levels and contextual help are built into the product.
Can I see the product before creating an account?
Yes: pre-recorded demos for each module are available without registration, and a sample dataset lets you explore a fully populated ERP system.
If you would prefer to speak with someone first, you can request a personalised walkthrough.
